Request the Thursday access window from the building manager. Keep the vendor booking on hold until access and spending are approved.

The coordination problem

Maintenance breaks down when the details live across messages and memory.

The repair may be simple. Getting every person, rule, approval, and follow-up into the right order is not.

01

Incomplete intake

The first message rarely includes the photos, access details, severity, or availability needed to act.

02

Three-party scheduling

Tenant, vendor, and building availability must line up before anyone can confirm the visit.

03

Building-specific rules

Insurance, work hours, elevator bookings, entry notices, and spend limits differ by property.

04

Manual follow-up

Managers repeatedly chase replies and reconstruct status from email, text, and memory.

Building rules

The building's rules become part of the workflow.

Instead of burying policies inside prompts or relying on memory, each property gets an editable operating profile. The workflow checks that profile before it contacts a vendor, proposes a time, or prepares an approval.

  • Rules stay visible and editable
  • Approvals follow written limits
  • Missing information becomes an exception

One visible workflow

From the first message to a verified repair.

Every step has a clear owner, state, deadline, and next action.

  1. 01

    Intake

Collect the issue, urgency, photos, access permission, and tenant availability.

  2. 02

    Triage

Apply the property's emergency and routing rules before ordinary coordination begins.

  3. 03

    Vendor coordination

Contact eligible vendors and track availability, insurance, and responses.

  4. 04

    Quote and approval

Prepare the quote for the person authorized to approve that spend level.

  5. 05

    Building coordination

Handle HOA, certificate-of-insurance, access, and elevator requirements.

  6. 06

    Scheduling

Find a time that works for the tenant, vendor, and property rules.

  7. 07

    Completion

Confirm the repair, record evidence, and surface recurring or unresolved issues.

Intake and triage: collect the right details
Intake and triage

Ask the questions the maintenance team would ask.

The playbook is defined with your team. AI can understand an informal message and ask useful follow-ups, but it does not invent authorization, policy, or emergency procedures.

  • Issue and severity captured
  • Photos and safety questions requested
  • Access permission and availability recorded
  • Recurring issues surfaced for review

Emergency signals: alert the on-call person immediately
Emergency path

Emergencies should not wait for an AI conversation to finish.

Potential flooding, fire or smoke, gas, security, and electrical hazards can leave the ordinary workflow immediately.

Emergency definitions, safety text, contacts, and dispatch limits must be configured and approved by the client.

Approvals and control

Your team keeps control of money and exceptions.

The system prepares the context and next action. The right person makes decisions outside the written policy.

Exceptions and fallback: no silent stalls
Exceptions and fallback

No silent stalls and no invented authorization.

AI can propose what a message means or what should happen next. The workflow records the actual state, applies deadlines, and escalates exceptions.

Where to begin

Start with the work that keeps your team chasing.

Prioritize related improvements across intake, coordination, and follow-ups. We agree on practical deliverables and test the rules and exceptions that matter to your team.

A focused place to start

Start with the request that keeps your team chasing.

Maintenance work can stall between tenants, vendors, and building managers. Improve coordination and follow-ups without giving up control of spending.

What we could improve togetherConnect maintenance intake, vendor handoffs, follow-ups, and manager approvals. We agree on the property scenarios and coordination improvements that would be most useful to test.

What we’ll test together

  • Required tenant details and property rules stay attached to the request.
  • Missing replies and spending exceptions reach the right person for review.
  • Your team can follow each handoff and compare manual coordination effort.

We agree on success criteria before building, then document the results, limitations, and recommended next steps. No promised savings or obligation to proceed to production.

What comes after the pilot?

Move a successful pilot into daily operations with the live channels, systems, properties, controls, and monitoring your team needs.

  • Live email, SMS, calendar, and property-system integrations
  • Multiple properties, categories, and operating profiles
  • Vendor, insurance, consent, and notification controls
  • Audit history, monitoring, fallback, and security
  • Ongoing support when needed

Production is scoped separately. Required third-party software, messaging, hosting, and usage fees are explained before work begins.

About Unstuck Ops

Built for multi-party, policy-driven operational work.

Unstuck Ops is an independent AI engineering studio. You work directly with the engineer designing and building the system—not through a sales layer or a handoff to an unknown delivery team.

The work combines AI where language or documents are genuinely messy with ordinary software, rules, integrations, permissions, and human review where reliability matters more than novelty.

  • Direct engineer collaboration
  • Client-owned deliverables
  • Human-reviewed exceptions
  • Production-minded architecture
FAQ

Questions property managers ask first.

Does this replace our property-management software?

Usually not. The goal is to coordinate the work around your existing systems and update them where practical, rather than replace software that already handles leases, accounting, or work-order records.

Can each building have different rules?

Yes. Work hours, insurance requirements, approved vendors, elevator bookings, entry notices, emergency procedures, and approval limits can be configured by property.

Can AI approve maintenance spending?

Only when your written policy explicitly permits it. Anything outside the configured limit or involving an exception is sent to the appropriate person for approval.

Is the full production system included in the $2,500 pilot?

No. The pilot can cover related workflows and improvements. We agree on priorities and deliverables together to fit the two-week engagement. A full live rollout, extensive integrations, security hardening, monitoring, and ongoing support are scoped separately.
