Turn incoming documents into work your team can review

Read the paperwork, identify what matters, and check it against your requirements. Give your team prepared information and clear exceptions, with the source still attached.

Is this the right fit?

Build around a recognizable business problem

Choose this when documents arrive in different formats and someone has to read, re-enter, match, or check them before the next step can begin.

Document automation starts before extraction and continues after it. Files need to reach the right account or period; extracted information needs checking; unclear fields need review. We design the whole preparation workflow, rather than treating a readable PDF as a finished business record.

Invoices and order records

Read relevant fields, compare records, and present mismatches for review. Approved system access determines the integration path.

Client-document collection

Identify incoming files, organize them against a checklist, and connect completeness checks with follow-ups.

Billing-document preparation

Prepare a packet, check maintained requirements, and route information the rules cannot confirm to a biller.

These interactive examples use sample data. They illustrate behavior; project outcomes are shown separately below.

Compare an invoice with an order

Inspect the sample mismatch and its source. The example illustrates review behavior; its amounts and counts are fictional.

For your technical team

OCR and structured field extraction can prepare information from document inputs. Deterministic validation rules handle explicit requirements and comparisons; a review queue handles anything those rules cannot confirm. Production design covers access permissions, audit logs, rule maintenance, and processing failures.

  • Agree the document types and requirements that matter to the workflow.
  • Keep original records available when a reviewer checks extracted information.
  • Treat unreadable files, ambiguous matches, and missing fields as exceptions.
  • Agree sensitive-data handling and access before connecting live material.

A prepared document is a starting point for the next decision

A complete-looking packet is not a guarantee that a claim, payment, or legal decision should proceed. Define what preparation confirms and who owns the next action. The billing example keeps validation and submission responsibilities with staff; the legal example supports source-backed search rather than independent legal advice.

Test the document work holding up the next step

Use representative material to check whether prepared information and a review queue give your team a better starting point.

What we could improve togetherCombine document intake, extraction, validation, exception preparation, and related follow-ups as useful for your operation. We agree on priorities and deliverables together.

What we’ll test together

  • The relevant information can be checked against the original document.
  • Missing fields, unclear matches, and unreadable inputs reach review.
  • Staff test prepared outputs and corrections against the current process.

We agree on success criteria before building, then document the results, limitations, and recommended next steps. No promised savings or obligation to proceed to production.

The pilot can cover related workflows and improvements. We agree on priorities and deliverables together to fit the two-week engagement.

  • Priority workflows and related improvements agreed together
  • Normal cases, exceptions, and approval points mapped
  • Realistic documents, messages, or system inputs
  • A working pilot tested against real scenarios
  • Human review where appropriate
  • Documentation and source-code handover
  • Production roadmap and quote for the next phase

Production and support have their own scope

Production hosting, monitoring, incident response, maintenance, and ongoing improvements are agreed and quoted separately. The pilot includes source code, documentation, and recommended next steps.

FAQ

Before we get started

What is intelligent document processing?

It combines reading and extracting information with steps such as matching files, validating fields, and preparing exceptions. The useful business outcome is checked information ready for the next person or system, not extraction alone.

Can you process more than invoices?

Yes. Existing workflows include client-document collection, healthcare billing preparation, manuscript checks, and private document search. We agree on the related workflows and improvements that fit the engagement.

What happens when a document cannot be read or matched?

The workflow should make that an exception for a person, with the source and reason available. We test unclear inputs and missing information alongside normal cases.

Can we start without sharing sensitive documents?

Yes. Use synthetic or de-identified examples for an initial demonstration. Access, retention, hosting, vendor requirements, and any compliance work are agreed before sensitive data is connected.
