Document workflow automation, from arrival to review

Reading a document is only one part of the job. A useful document workflow organizes the input, checks what was extracted, and gives the next person or system a clear starting point.

1. Intake and identify

Decide which approved folders, messages, or exports supply the documents. Define how a file is matched to an account, matter, order, or reporting period. An ambiguous match should become a review item rather than silently landing in the wrong record.

  • Approved source
  • Agreed matching identifiers
  • Handling for duplicate and unknown files

2. Extract what the next step needs

List the fields and document types that matter to the process. OCR or AI-assisted extraction can prepare those fields, but the original document should remain available when someone checks the result. An unreadable field is missing information, not an invitation to invent a value.

  • Required fields
  • Source document available
  • Unclear information explicitly marked

3. Validate against maintained requirements

Apply explicit checks for required items, consistency, and comparisons with other records. The invoice demonstration compares an invoice with an order and highlights a mismatch. The billing workflow checks payer-specific requirements. Each needs maintained rules appropriate to that operation.

  • Checklist or rule owner
  • Cross-record checks
  • Visible reason for a failed check

4. Give exceptions to the right person

A review queue should preserve the source, the reason for the exception, and who handles it next. Missing documentation, uncertain matches, and processing failures need a clear route. Preparation does not automatically authorize a payment, claim submission, or legal decision.

  • Reviewer and approval boundary
  • Supporting information
  • Next step after resolution

5. Record the handoff and test the whole process

Define what happens when the packet is ready and how completion is recorded. If follow-ups are part of the workflow, stop them when the requirement is met. Production needs agreed access, logs, monitoring, and recovery behavior.

Test a mixture of formats and difficult examples. Compare the prepared output with the original and the current process, and document where review is still needed.

  • Completion and reminder-stop conditions
  • Processing records
  • Normal cases and failure cases tested
